POLICY: This application  for the  sole purpose of providing potential clients / visitors with Wine Tour pricing via email. NO Credit Card information nor any client sensitive information is requested nor is it required on this application. We never request CC information thru our website. All potential future reservations are conducted over the phone or email. This Application is NOT considered to be a reservation. All CC information for an existing reservation is requested over the phone. This application requires a Client's pickup location ( NON detailed address) or "point of interest" in order to provide an accurate Wine Tour Quote. With the complexities of the Long Island geographics, traffic and various pickup locations, the information we provide is based on various conditions. We NEVER give 3rd party groups any client emails that may be obtained thru this application. It would be NOT in our best interest to do supply visitor information to other parties as we are in the business of trying to gain a future wine tour reservation, not to have our competitors or other parties garner information to compete against us thru our our application. We do NOT sell and visitor or current client information.

TERMS AND AGREEMENT - CANCELLATION POLICIES
Please review the following before booking.
 Wineries have strict rules for seating, food, conduct, and group size. These policies protect the tasting rooms and ensure a safe, enjoyable experience for all guests.
Our Long Island Wine Tour Booking Procedures and Policies
1. Booking Procedures & Payments
1. The Client(s) signing the reservation form are responsible for the actions of others in their group. If there is a delay caused by others in the group, other than the "signing" client , the client is responsible for any over-time or payment to wineries where the delay caused the reservation to be void. It would be the responsibility of the "signing" client to collect funds from the rest of the group to reimburse themselves. A Major CC will be on file in case of this situation. The "client" shall be the only person contacting us for change requests or clarification of terms. Please do not have other guests in the Group contact our office looking to cancel if the request falls into the "No Cancellation period" ** (described below)
Reservations require a signature and a major Credit Card on file whether or not Tour is paid via Cash, Corp Check, Gift Certificate or Credit Card. A 10% down payment* * (15% for 14 Passenger Vehicles or greater) non refundable via Credit Card is required in order to proceed with the booking process. Our Terms are provided before we ask you for your Credit Card.
**Please Note: If any Venue on the reservation requires any form of down payment; some wineries require (50% or 100%) upfront payment with cancellation policies, the 10% / 15% generic down payment will NOT cover any venue payments made by our service; East End Wine Tasting Tours (TM), IF the client cancels any number of people within the Cancellation Window of the Venue.
Our company must be reimbursed for laying out any monies associated with any mandatory down payments.
Once you / The Client has agreed and provided their CC for non refundable deposit, the exact amount specified will be processed. This deposit is not to be considered 'a hold". Once the deduction has been made, a reservation number will be assigned and we will then send out a Client copy reservation form, complete with all the details of the agreed upon tour, except for the hard timing of the venues as this would take place after e-signature. This form will be sent out via "Echo/ E-Adobe" ( so please check your respective email Inbox ( spam or junk folder). The Form will include the total cost and price per person, along with the deposit amount. You will notice that the terms which we provided prior to your CC request is also found on the bottom of your reservation copy.. There will be an accompanying email with other facts about your tour..
Once the client has signed the form and checked off any appropriate "Check Boxes", we will be automatically alerted to this completed document. We will then proceed to request reservations at the various venues on your reservation form. Should there be any changes required (ie: Start Time, End Time, or timing of the wineries/ other venues or if we have been informed that a winery/venue is not available ( closed for private event or sold out etc), we will reach out to the client to find suitable replacement and if the reservation cost will be impacted. This will all be resolved via phone call or email. There is no need to e-sign the reservation again and again.
Once the reservations at the wineries / other venues are confirmed, we will then send out this updated copy to the client. If the client chose a Boxed Lunch Option or and Restaurant that requires a Pre-order, we will also send out the food ordering form as well as a link to our website ordering form, if this is your preference. We would require any pre-ordering of food 5 Business days in advance of your tour date.
A final confirmation will be sent 4-5 days prior to your tour date. The remainder of the tour payment shall be paid in CASH on day of wine Tour unless other payment option has been specified. If Credit Card or Gift Certificate or Check (Corporate outing) is the mutually agreed method of payment for the tour, then further instructions would be given. The Credit Card payment option will be limited to “1” Credit Card per Tour and if the tour is the agreed upon payment, the remainder will be charged 4-5 days in advance.
Our cash payment tours are discounted from our Normal Rates which are Credit Card / Gift Certificate/ Corp Accounts Certified Bank Checks. Our normal rates will include service fee, full profit on all wine tasting fees, tours, lunches and applicable sales tax. CC payment is paid in full 4-5 days in advance. Check Payment is paid in full / cleared 5 days in advance.
All of our client copy wine tour reservation forms will have information regarding the selected wineries in terms of reserved tables or not, Built-in Gratuities at the selected venues, whether food or boxed lunches are permitted in the selected wineries (outside or inside or both) and the client responsibility for certain wineries/venues that require a separate reservation form and / or down payment requirements. In those cases, if the client has a change in group size where they have a separate agreement, the client alone, NOT OUR TOUR company, must contact those wineries and change the group size.
2. Cancellations & Refunds
Cancellation policy ** complete details –
10% or 15% nonrefundable deposit due at signing of reservation. ( refundable only if NY State or Local Govt or super storm cancels tours that day/ winery shutdown)
Cancellation polices may apply **- especially certain wineries as well as special tours of wineries etc. This would be noted on the client's reservation form.
100% cancellation fee ** usually within 7 days of the tour date and for 14+ Passenger Vehicles there is a 21 Day 100% Cancellation Fee (Occurs a few times per year – and sometimes owner shows some compassion when the entire reservation is cancelled- depends on vehicle capacity, type and re-booking probabilities) (In effect: 10.14.2022)
IN ADDITION to the 10% or 15% Down payment ** : If there are any wineries, breweries ( other venues) that are prepaid or have any cancellations policies of their own – which usually are 2 to 5 Days; some are 7 day cancellations.
So If a party cancels which thus violates a respective venue's cancellation policy & has been Prepaid by Wine Tour Service; the Client / Party is responsible for payment to us. We/ Our company clearly indicate a cancellation policies on Client Reservation Form.
Not Included: At times, there are venues that require prepayment by the CLIENT. Client is therefore directly responsible to settle / contact winery.
FYI: We advise which wineries / venues have a cancellation policy at time of quote / reservation.
Most Venues have at least a 24 to 72 Hr policy with Tour Groups and General Public. Real estate or seating is limited and at a premium, if there is a no show or a cancellation within 24 hrs, the venues are expected to get paid.
If there is a “Client directed cancellation” within those (7 or 21) days and any of the selected wineries are a prepayment requirement direct by us to the venue, we may have the flexibility to cancel payments to those venues even though we are finalized with you, the Client.
We send a CC Authorization email to each winery (4-5) days prior/or other venue that requires prepayment before client date of tasting/ and before their respective cancellation period. Not all wineries require upfront or advanced payment.
The respective winery/venue usually wait until “their” cancellation period and then they charge our CC. (This way you/ the Client are not responsible for additional payments to us, so to reimburse us for any "Prepayment Venues" – again only if you cancel your tour within a specific window of time) This way we can lessen the costly pain of a client requested cancellation.
There will be NO refund for having less people on the day of the tour and within a (5) Days / 120 hour period of the tour date. These tours are rather complex and very difficult to change within a 120 hour period.(Updated: 06.04.2022)
OTHER FYI(s): Please bear in mind, that wineries have allocated and setup for a specific group size upon your arrival at a winery. If your group participates ( reserved and paid for) for a vineyard walk or tour of a winery and less people show up for that tour, the wineries have every right to charge for that "spot" or prior reservation. Spaces are limited on wine tours; so the winery expects to be paid. Select wineries will request a credit card DIRECT from our client and will provide a separate reservation form. Select wineries may charge client's CC in full after completion of the wine tasting or tour. If there are less people on the reservation ( that is the separate reservation/contract between our client and the winery), the winery will also charge for the "no-shows" or according to their specific conditions on the contract between client and winery. We always "deduct" the cost of these wineries that require direct payment from the client and indicate as such on our reservation forms to our client.
Prices and vehicles are subject to change. Based on "potential" unforeseen circumstances brought to our attention by the Vineyards, our guests will be informed of any changes if our office is notified. Wine tasting fees will fluctuate due to seasonal pouring changes ( 40% of the wineries changes their offerings each season). Wine flights (servings) can change at vineyards’ discretion and without notification. Wineries may book a private event on day of your tour which may conflict with the wine tasting. If so, we will contact our guest and make a change which is suitable with both you and another winery. We will provide this information at or around the time of reservation, again, if we are notified.
Wine Tasting Fees will be paid directly to Wine Tasting Room Manager by our Guests (mid week and for groups less than (8)) - ONLY IF our clients prefer to handle all wine reservations and payment transactions themselves.. Our discounts ( if any with certain wineries/other venues) will not be transferable to our client if they are calling and making their own reservations. .OTHERWISE the chauffeur will accompany the group into the tasting room and pay for the wine tastings fees. A detailed itinerary shall be emailed to the tour group leader (one who places reservation) prior to trip date. Trust us, it will never be more expensive if you book the wineries thru our service. In fact pricing will be the same or less thru us. Most of the time, groups who pay on their own lose 20 minutes per winery as they do not know who to pay, etc..
A menu for Gourmet style boxed lunches shall be emailed as well. All Lunch choices must be submitted to our wine tour service (5) days prior to reserved date. Lunch offerings range from a boxed gourmet type lunch, which is ordered thru us prior to tour date and can be eaten at 10% of the wineries in a designated area of the participating venue, which in many cases is outdoors. You may also elect to bring your own lunch. There are some lunch trucks located at a couple of wineries, ONLY in the town of Riverhead. All Food trucks have been banned at Vineyards that are located in the town of Southold ( where 80% of all wineries are located). NO outside alcohol or celebration decorations are permitted in any vineyard.
3. Weather & Conditions
Tours operate rain or shine.
If extreme weather or unsafe travel conditions occur, the company may postpone or modify the itinerary.
Wineries reserve the right to change outdoor seating to indoor, or limit space during weather events. Most of the Larger Economical wineries will NOT have Indoor seating incase of weather. Worst case scenarior is standing room only. Other Wineries you may have to choose indoor or outdoor seating and if you choose outdoor and it rains, there will be no indoor seating for your group. ( Keep this in mind- as we will alert you to those wineries/ Venues)
4. Winery Rules & Conduct
Each winery / Other venue has its own rules regarding group size, seating, behavior, food, and décor.
Most do not allow outside food, balloons, table setups, banners, or party-style activities.
If a group violates winery rules, the winery may refuse entry or ask the group to leave—no refund will be given.
Excessive intoxication, damage, or disruptive behavior can end the tour immediately at the client’s expense.
5. Group Size Changes
Final headcount must be confirmed in advance.
If wineries or venues have minimum spending requirements, and the group arrives with fewer guests, the renter is responsible for any balance owed.
Vehicle size changes are subject to availability and may change pricing.
6. Pickup & Drop-Off
Pickup is available from most homes, hotels, and vacation rentals across Long Island.
Some roads or communities may restrict buses or limos; if so, a nearby meeting point will be assigned.
Pickup times vary by location to ensure your itinerary stays on schedule.
Late arrivals shorten tasting time and may affect your itinerary.
7. Lost Items & Damages
East End Wine Tasting Tours and affiliates are not responsible for lost or left-behind items at wineries, homes, or vehicles.
Damages to vehicles or winery property caused by guests will be billed to the renter or Client
8. Responsibility & Liability
East End Wine Tasting Tours does not guarantee the availability of specific wineries, seating, private rooms, or entertainment.
If a winery changes policy, cancels a reservation, or denies entry due to behavior, group size, or previous violations, the renter assumes responsibility—not the tour operator.
The renter agrees to assume responsibility for all guests on the reservation and all charges related to the booking.

You will be 21 years or older to consume alcohol in accordance with NYS Law.
(“East End Wine Tasting Tours ™”) has no direct affiliation with any wineries, hotels, or restaurants in terms of compensation other than for the transportation and wine tour service it provides thru our transportation affiliates. Restaurant suggestions are based on past reservations by either our regular or wine tasting guests. We have certain (all inclusive pricing) with public restaurants which enables easy "quoting" of wine tours to visitors to our website(s) and further will enable a seamless transaction on the day of the tour. Clients are welcome to book and pay their own restaurant selections, if applicable. We are not an authorized NYS food handler and do not prepare any type of food. Lunch is offered by us through licensed food markets and/or caterers mentioned on this website utilizing or owning a certified commisionary kitchen. Any/all food allergies* will be taken in consideration, only with caterers who offer this consideration* as long as clients inform East End Wine Tasting Tours ™ or the distributors of food products. East End Wine Tasting Tours ™ does not condone the abuse of alcohol. East End Wine Tasting Tours ™ client assumes full responsibility for his/her guests in regards to the consumption of alcohol in East End Wine Tasting Tours ™ property, affiliates' vehicles as well as behavior in wineries, restaurants and other accommodations. East End Wine Tasting Tours ™ client assumes to pay all replacement value of any articles that are damaged, broken or missing inside transportation provided by East End Wine Tasting Tours ™. There is a minimum charge of $350.00 for client’s and their party suffering motion sickness .The client assumes full responsibility for personal articles brought into East End Wine Tasting Tours ™ transportation and indemnifies East End Wine Tasting Tours ™against claims or damages related to items brought to or inside the vehicles. East End Wine Tasting Tours ™ is not responsible for Lost, Stolen or Forgotten items at wineries nor on board reserved vehicles. East End Wine Tasting Tours ™ does not condone the hiring of our vehicles for illegal purposes. We assume NO responsibility for illegal actions by our clients in our vehicles or in other locations other than East End Wine Tasting Tours ™ property. If the client or his/her guest East End Wine Tasting Tours ™ ' affiliates' property, driver and/or clients, use any illegal drugs or substances in the coach section of the vehicle, or if the chauffeur/driver determines that a minor is using drugs or alcohol, the service can be terminated with NO refunds of any monies. East End Wine Tasting Tours ™ is not responsible for party after they have exited their vehicle at the end of their reservation. East End Wine Tasting Tours ™ does not serve alcohol in their vehicles. If client and their party bring alcohol on board, they are solely responsible for their actions. East End Wine Tasting Tours ™will not allow the dropping off of clients at their vehicles or parking lots if the driver identifies an abuse of alcohol. East End Wine Tasting Tours ™ will make reservations at vineyards as per the client’s instructions or choice of wineries. The wine tasting “fees” are paid for by the drivers direct to the vineyard tasting room, unless previous arrangements for transaction are made between clients and tasting room.
